Room Hire Terms & Conditions

Provisional bookings:

Will be held for a maximum of 5 working days; if the booking is not confirmed within this time it will be cancelled without prior notice.

Cancellations:

If your booking is cancelled 5 working days or less prior to the hire date you will be charged in full, including any catering and refreshments. There will be no charge if a meeting is cancelled giving more than 5 working days notice. BVEL reserve the right to cancel meetings if the hirer fails to adhere to our terms and conditions or if there are circumstances beyond our control.

Access:

Meeting rooms will be available between 8:30am and 6pm, Monday to Friday. Access outside of these hours could be arranged with prior notice. Hirers arriving before designated times cannot be guaranteed immediate access to the meeting rooms and any meeting over running will be charged at the published hourly rate.

Catering:

Catering can be ordered through the centre at an extra cost or you are welcome to provide your own. Please give as much notice as possible if you would like us to provide the catering.

Layout:

Please confirm at the time of booking your room layout style. Centre staff can advise regarding the layouts available.

Parking:

Free parking is available at the centre. Vehicles are parked at your own risk, BVEL accept no responsibility for any loss or damage.

Payment:

Most room bookings are invoiced in arrears and are payable within 30 days. Under some circumstances upfront payment or a deposit may be required. This will be discussed at the time of booking.

Safety:

All delegates must observe the safety guidelines of the centre. It is the hirer’s responsibility to ensure the safety and security of their delegates. Any person who may require assistance in the event of the building being evacuated, for example, because the fire alarm sounds, must complete a PEEP questionnaire & return to centre staff.

Security:

BVEL accept no responsibility for lost, damaged or stolen personal belongings/equipment.
